BEST PRACTICES IN PERSONALIZED PRINT: Integrated Print and Mail Solution Results in First Year Savings Over $50,000 From the the Print-On-Demand Initiative PROJECT: Ventura County, CA Jury Summons. Theres more to the digital print revolution than direct mail. Traditional forms applications are often data-oriented and typically involve the communication of complex data, or a high quantity of data, to a list of people who are already known. There is traditionally no marketing intent (although thats beginning to change as we witness the convergence of marketing and transactional documents). The value proposition of this type of personalized print is generally a reduction in the cost of process or cost of manufacturing through automation. ![]()
This application demonstrates the great value that can be achieved through good design of such pieces, integrating all the different benefits of a fully computerized production flow. The postage savings alone produced tens of thousands of dollars in savings, and there were additional benefits beyond that. APPLICATION SEGMENT: Forms and Transactional Documents CLIENT: Ventura County, CA Pre-printed forms were supplied to the Ventura County Mail Center, which uses a Xerox Docutech 6135 and a Moore Pressure Seal device. Folding of documents and inserting are accomplished in one pass. METHODOLOGY: The Mail Center Services unit of the countys General Services Agency needed a way to improve efficiencies and reduce costs. By putting together an integrated solution they were able to improve turnaround time through automation and reduce costs by realizing postal discounts. The solution utilizes Lytrod Softwares Proform/Desktop Designer, which allows the creation of the form and the formatting of the data in one product. Firstlogics PostalSoft PrintForm software is used to cleanse the data and organize it to achieve the maximum postal discounts. This solution is used by many of the countys agencies and includes such applications as the County Courts ticket billing, as well as its jury summons (pictured above). Variable information on the jury summons included the recipients name, address, badge number, group number, date and approximate number of miles from the recipients community to the Government Center in Ventura. In a further efficiency move, the jurors ID badge was printed on a perforated portion of the summons. Prior to implementation of this solution the Courts notices had been impact-printed using a carbon/bond form at the countys Information Systems Department, then physically transported to the Mail Center across campus. This new system eliminated legibility problems caused by the carbon and has improved turnaround time by a factor of four. The estimated first years savings to the Courts including postal and process savings amounted to $51,528, just for the ticket billings. DIGITAL DIRECTIONS Documents of the Future The 5th Xeikon Diamond Awards contest has again demonstrated how digital printing is opening up new possibilities and stretching the boundaries of print. The Overall Best Winner this year has been awarded to a glowing metallic lampshade. Digital printer a:prico AG, Hamburg, won the award for the innovative and creative use of digital printing in the Silver Surfer lamp and lampshade printed for a:prico's customer Klein & Co. KG, Senior vice president marketing at Xeikon N.V., Herman Remmerie says of the entry: "The one constant with the Diamond Awards is the surprise element. We are always very impressed with the diversity and creativity of the entries and this year is no exception. a:prico's application stands out from the record level of innovative entries - up 60% on last year - and has delivered something even we hadn't thought of!" Using a Xeikon DCP/32D, a:prico prints on-demand five designs held in a database. The designs are printed onto a special flame retardant, tear proof substrate which is then covered with an outer layer of silver film. When the light is off, the lampshade is a metallic silver color. When lit, the design glows through the outer layer and becomes visible. Established in 1994, a:prico AG was one of the first Xeikon customers, installing a DCP/32D in 1995 and, in December 1999, a DCP/50D. In 1998, a:prico won the Xeikon Diamond Award in the One-to-One Marketing category for a highly personalized Christmas Advent calendar and lottery ticket application. Herman Remmerie, expressed his delight at the quality and diversity of this year's - the first global - Diamond Award applications: "We were especially pleased to see so many entries coming in - and winning! - from countries which are included for the first time in the awards. " The other winners of the 2000 Xeikon Diamond awards are: One-to-one Marketing First: Kallenbach GmbH & Co KG, Cross Media Production, Germany for personalized direct mailpiece including letter, poster and personalized envelope. Printed on Noposat matte satinised paper on a Xeikon DCP/50D, the poster was folded from a 476 x 857mm starting size and personalized five times on both sides. The Judges' verdict: " This application shows just how far one-to-one communication has come with the help of digital printing." Second: CMYK Digital Print Solutions, UK for Toyota Previa direct mail postcard with photograph for Saatchi and Saatchi. Joint Third: D4 Digital, UK for VW prospecting kit and information pack inserts. Joint Third: Rastar Digital Media, USA for highly personalized OC Tanner brochures. On Demand Printing First: Xyan.com, USA for full-color textbooks for Houghton and Mifflin Co. The digitally printed textbooks are used to gain approval from the Californian Board of Education for the textbooks use in the school curriculum. A run of 75 copies of two volumes printed on a Xeikon DCP/50D on 90gsm Nopa color coated paper. Each volume has just under 500 duplex pages. The Judges' verdict: "This is an excellent example of something that could not be produced without digital print. The ability to produce the books in extremely short runs and full color instead of black-and-white adds value to the application." Large format printing First: CMYK Digital Print Solutions, UK for point-of-sale clear polyester hanging banner for Penguin. Printed on a Xeikon DCP/50D, 700 copies of the 500 x 1,500mm banner were produced in 24 hours after client approval. Duplex printed to add color intensity. Modifications to the format of the job by CMYK made the difficult print job very cost-effective. The Judges' verdict: "The quality and range of contrasting colors is exceptional and the register on both sides extremely exact. CMYK anticipated and provided for the clients needs perfectly." Innovating Applications First: Boldt SA, Argentina for National Government ID cards. Variable data including fingerprints, photo, personal data printed onto pre-printed background with a Xeikon DCP/32D. 500 pages of 4,000 ID cards printed on 94 gsm synthetic and cotton paper. Xeikon digital printing is ideally suited for this type of high security application with perfect front and back register due to the web-fed, one pass duplex nature of the press, the ability to print full color, variable data and the absence of films and plates, The Judges' verdict: "The use of digital technology for a complex variable data security application such as this is testimony to the strength of the technology." Labels and Packaging First: Venturini Group, Italy for wine bottle and presentation box labels printed in two days in various formats and quantities ranging from 50 to 250 corresponding to customer sales trends. Printed on adhesive substrates on a Xeikon DCP/32D, some of the labels were numbered for special editions. The Judges' verdict: "The quality across the various labels is excellent and the ability to print such short run lengths is highly beneficial to Venturini's customer." Special mention: Concept Printing, USA for large format artwork catalog for Fine Arts. 12" x 18" (30.48 x 45.72cm), 100 copies of 100-plus page catalogue of art printed on a Xeikon DCP/32D. The accuracy of color matching was crucial as the images must appear as accurate reproductions of the original paintings. The Judges' verdict: "This extremely high quality and difficult application shows the possibilities digital printing opens up for the world of art." Black and white forms printing Dae-Myung Business Forms, Korea for Hanaro Telecom Inc. billing forms. Printed single-sided on a Xeikon 7000 press, each page includes personalization in the form of call details, personal details and graphics giving further cost breakdown details. The job required complicated database management. Horizontal and vertical perforations are included on the invoices. The Judges' verdict: "This is a very clever and well executed precision application. The complex personalization - unusual for billing forms - distinguishes Hanaro Telecom from competitors and provides customers with valuable call information." Merbeth & Bossert, Germany for a concept designed to allow easy verification of carbonless forms. Printing on a Xeikon 7000, Merbeth and Bossert uses a series of holes and numbers on the top of the documents to /verify all copies are in place. Precision register of all sheets is necessary to ensure the matching of numbers and holes. The Judges' verdict: "Accurate registration is a challenge for printers and such accuracy is a testament to the caliber of both the printer and the press." Want to join a discussion on this article?
